Experienced Administrator Role

The Charity is working on a trial partnership with Market Harborough & the Bowdens Charity. We are therefore looking for an experienced administrator to join the team and work eight hours a week.  The role is to provide general office support and administer one or more committees, organise the meeting documentation and take accurate minutes.  The job holder will make grant payments and help support the administration of both charities.  They will also carry out general office duties such as answering the phone and dealing with the public.

Administrator Job Description – July 2025

Role              To carry out all aspects of administration for the Charity.

Manager   Charity Secretary

Location   Charity’s principal office or other Charity property as required.

Occasional attendance at third party locations to meet stakeholders (including applicants and contractors), undertake training; or other reasonable place as determined by the Trustees to further the objectives of the Charity.

Purpose        Administrative secretarial support including dealing with correspondence, answering the phone, support to trustees, running committees, making payments and supporting management of the allotments & the Old Grammar School.

Main duties

Completion of all administrative business of the Charity and point of contact for applicants, stakeholders and contractors.

Supporting one or more Committees including the preparation and circulation of papers, minutes, actions and payment of grants if appropriate.

Secretarial support to Trustees generally including (but not limited to) logistics, documents and minutes, record keeping, research, updating the website, and database maintenance.

Operational support to management of the allotments including liaison with plot holders, contractors, and volunteers.

Operational support to management of the Old Grammar School lettings.

General office support and any other reasonable tasks requested by the Charity Secretary or Trustees consistent with the objects of the Charity.

Person specification

Essential criteria

  • Ability and means to work flexibly from the office and home with occasional visits to other sites in the local area
  • Ability to work alone and as part of a mutually supportive team
  • Excellent interpersonal skills
  • Good literacy and numeracy skills to prepare reports and maintain records
  • Experience of office systems including email, word processing and data handling
  • Ability to administer meetings including preparation and circulation of papers, minutes and actions
  • Ability to communicate in a polite, friendly and helpful manner in person and on the telephone and to maintain confidentiality where appropriate
  • Evidence of honesty and integrity
  • Willingness to learn to use other systems and procedures such as document management or online banking

 Desirable criteria

  • Previous administrative experience
  • Knowledge of the Charity
  • Knowledge of GDPR, Equality and diversity, ESG
  • Confidence to get involved in the development of the Charity
